A low refrigerant reading is a symptom, not a complete diagnosis. Before adding refrigerant, an HVAC technician needs to confirm the equipment, rule out airflow and mechanical problems, inspect for leaks, and determine the correct charging method for that specific system.

This HVAC refrigerant service checklist provides a repeatable field workflow for stationary air-conditioning and refrigeration equipment. It is intended for trained professionals—not as a substitute for the equipment manufacturer’s service instructions, applicable codes, or EPA requirements.

1. Confirm the equipment and refrigerant

Start at the data plate. Record the model and serial numbers, specified refrigerant, factory charge, line-set allowance, electrical ratings, and any manufacturer charging instructions. Do not identify refrigerant by operating pressure or cylinder color alone.

  • Verify that the indoor and outdoor components are approved to operate together.
  • Check the service history for prior repairs, conversions, or refrigerant additions.
  • Confirm the lubricant and service tools required by the manufacturer.
  • Use only refrigerant approved for the equipment. Never treat one refrigerant as a drop-in replacement for another without documented manufacturer approval.

2. Establish safe, compliant working conditions

Review the safety data sheet, use appropriate personal protective equipment, secure cylinders, and provide ventilation suitable for the refrigerant and work area. EPA Section 608 certification is required for technicians performing work that can release regulated refrigerants from stationary appliances, including attaching gauges and adding or removing refrigerant. EPA rules also generally prohibit intentional venting during service. Use approved recovery equipment and follow federal, state, and local requirements.

3. Verify airflow and the basic operating condition

Charging decisions made with incorrect airflow can lead to a wrong diagnosis. Before interpreting superheat, subcooling, or pressure readings, inspect the parts of the system that establish heat transfer.

  • Check filter condition and return-air restrictions.
  • Inspect evaporator and condenser coils for fouling or blockage.
  • Confirm blower, fan, dampers, and registers are operating as designed.
  • Look for frost, oil residue, abnormal noise, or signs of overheating.
  • Measure indoor and outdoor conditions and allow the system to stabilize as directed by the manufacturer.

Also verify supply voltage, controls, contactors, capacitors, fan operation, and compressor behavior. An electrical, airflow, metering-device, or load problem can imitate an incorrect refrigerant charge.

4. Diagnose before adding refrigerant

Connect clean, refrigerant-compatible instruments with low-loss fittings. Measure the complete operating picture rather than relying on suction pressure alone. Depending on the equipment, useful readings may include suction and liquid pressures, line temperatures, superheat, subcooling, indoor wet-bulb temperature, outdoor dry-bulb temperature, and supply/return temperature difference.

Compare the readings with the current manufacturer procedure. Fixed-orifice and thermostatic-expansion-valve systems commonly use different charging targets, and variable-capacity equipment may require a dedicated charging mode. If conditions are outside the manufacturer’s charging envelope, correct those conditions or return when valid testing is possible.

5. Find and address the cause of lost charge

A sealed system does not consume refrigerant during normal operation. If the system is undercharged, inspect for a leak and follow the applicable repair requirements instead of repeatedly adding refrigerant without addressing the cause.

Use an appropriate leak-detection method for the refrigerant and system, such as an electronic detector, approved bubble solution, or manufacturer-specified pressure test. Common inspection points include service valves, caps, flare or braze joints, Schrader cores, coils, distributors, and areas showing oil residue.

If refrigerant must be removed, recover it into a suitable labeled cylinder. Do not mix refrigerant types. Used refrigerant intended for resale must be reclaimed by an EPA-certified reclaimer; recovered refrigerant may have different reuse options under EPA rules depending on ownership and circumstances.

6. Repair, pressure-test, evacuate, and verify

After repairing the leak, follow the equipment manufacturer’s pressure-test procedure using the specified test medium and pressure limits. Never use oxygen or compressed air for refrigeration-system pressure testing.

Evacuate with properly sized hoses and a calibrated micron gauge placed where it measures the system rather than only the pump. The manufacturer’s procedure should determine the evacuation target and standing-vacuum test. A system that will not achieve or hold the specified vacuum may still contain moisture, non-condensables, or a leak.

7. Charge by the approved method

Place the refrigerant cylinder on a calibrated scale and charge only the refrigerant listed for the equipment. For an empty or newly commissioned system, use the nameplate charge and manufacturer adjustment for the installed line set and accessories. For final adjustment under operating conditions, use the manufacturer’s specified superheat, subcooling, weigh-in, or charging-chart procedure.

  • Prevent liquid slugging by following the approved method for introducing refrigerant.
  • Charge blended refrigerants as directed by the refrigerant and equipment manufacturers.
  • Allow readings to stabilize after each controlled adjustment.
  • Stop when the documented target is reached; more refrigerant is not better.
