  • All certification, business, resale, and purchasing information you provide is accurate.

  • The refrigerant will be handled, installed, serviced, recovered, and disposed of in accordance with applicable requirements.

  • The product will not be used for an unlawful, unsafe, or unauthorized purpose.

  • You will not intentionally release refrigerant into the environment.

We may request supporting information, including:

  • EPA Section 608 or Section 609 certification information

  • Proof that a business employs an appropriately certified technician

  • Business or resale information

  • Identification or transaction verification

  • Confirmation of the intended product application

  • Other information reasonably required to verify purchasing eligibility

Submitting an order does not guarantee approval. We may place an order on hold, reject it, or cancel it if required information is missing, inconsistent, inaccurate, or cannot be verified.

3. Customer Accounts and Information

You are responsible for providing complete and accurate account, billing, contact, certification, and shipping information.

You are also responsible for:

  • Protecting your account credentials

  • Preventing unauthorized access to your account

  • Updating your information when necessary

  • Reviewing your order details before submitting payment

  • All activity conducted through your account

You must notify us promptly if you believe your account or payment information has been used without authorization.

Refrigerants are not automatically interchangeable. Similar names, packaging, pressure characteristics, or applications do not mean that one refrigerant may safely replace another.

Information on our website is provided for general product and purchasing purposes and does not replace professional HVAC, refrigeration, engineering, safety, environmental, or legal advice.

5. Prices, Availability, and Listing Errors

Unless otherwise stated, all prices are displayed in United States dollars.

Prices, promotions, discounts, product availability, and purchase limits may change without prior notice.

If a product is listed with an incorrect price, specification, quantity, promotion, or availability due to a technical, typographical, supplier, system, or data-entry error, we may:

  • Correct the listing

  • Contact you with updated information

  • Request approval of the corrected price

  • Cancel the affected product or order

  • Refund an eligible amount already paid for a cancelled order

coldvia does not provide credit terms, deferred payment, or net-payment arrangements unless confirmed in a separate written agreement.

Applicable taxes may be collected when required.

8. Wholesale and Business Orders

Wholesale prices, minimum quantities, freight arrangements, product availability, and payment requirements may differ from standard website orders.

A written quotation, invoice, payment link, or order confirmation may contain additional transaction-specific terms.

Unless otherwise stated in writing:

  • Wholesale pricing applies only to the stated customer, products, quantities, and destination.

  • Quotes are valid only for the period shown.

  • Retail discounts and promotions do not automatically apply.

  • Wholesale prices cannot be combined with other discounts.

  • Inventory is not reserved until payment is received.

  • Full payment is required before shipment.

  • Previous pricing does not guarantee future pricing.

If a written invoice or quotation conflicts with general website pricing, the written document will control for that specific transaction.

Purchasers acquiring products for resale are responsible for complying with applicable resale, tax, customer-verification, certification, recordkeeping, and refrigerant-sale requirements.

9. Promotions and Discount Codes

Promotions, coupons, and discount codes may be subject to:

  • Eligibility restrictions

  • Minimum purchase requirements

  • Product exclusions

  • Quantity limits

  • Customer limits

  • Expiration dates

  • Restrictions on combining offers

Discounts have no cash value and cannot be applied to an earlier order unless coldvia expressly agrees otherwise.

We may correct, suspend, or cancel a promotion affected by technical error, incorrect configuration, fraud, misuse, or unauthorized distribution.

10. Shipping and Hazardous-Material Delivery

Refrigerants are regulated shipping products and may be subject to hazardous-material transportation requirements.

Eligible refrigerant orders are shipped using approved ground transportation services. Air shipping and expedited transportation may not be available.

Shipping destinations, processing times, estimated delivery times, tracking, signature requirements, unavailable locations, delays, and address responsibilities are governed by our Shipping Policy.

Delivery dates are estimates and are not guaranteed. Delivery may be affected by:

  • Hazardous-material handling requirements

  • Carrier operations

  • Severe weather

  • Natural disasters

  • Holidays

  • Government restrictions

  • Transportation interruptions

  • Other events outside our reasonable control

Customers are responsible for providing a complete and accurate delivery address.

Costs caused by address errors, address corrections, failed delivery, return to sender, package redirection, or reshipment may be the customer’s responsibility in accordance with our Shipping Policy.

11. Cancellations, Returns, and Refunds

Order cancellations, approved returns, product inspections, refused deliveries, return shipping, and refunds are governed by our Return and Refund Policy and Shipping Policy.
